Privacy notice
This notice explains what happens to your information when you use this website, get in touch or book a chat.
Who I am
PeopleEase is the trading name of Faye Cunningham, a sole trader providing remote HR and people support to smaller businesses from Great Bookham, Leatherhead, Surrey. As a sole trader, I'm personally responsible for looking after any information you give me through this website. To contact me about your data, or about anything on this page, email faye@peopleease.co.uk. I'm registered with the Information Commissioner's Office (ICO), registration number ZC262827.
What this notice covers
This notice is about you: someone visiting this website, sending a message or booking a chat. It isn't about the employee information I handle for client businesses. When I work for a client, their information stays theirs and how I look after it is set out in our written agreement, not here. If you're a client and would like a copy of what I'd do if a data breach ever happened, or how long I keep records, just ask.
What I collect
Only what you choose to give me. Nothing is gathered in the background.
- If you send a message: your name, your email address, and whatever you write. Your business name and the number of people you employ are optional
- If you book a chat: your name and email address, and anything else the booking page asks for
- If you email me directly: whatever is in your email
What I use it for
To reply to you, and to arrange and hold the chat if you book one. That's all. I won't add you to a mailing list, and I won't pass your details to anyone for marketing. The law asks me to say why I'm allowed to use your information. For replying to you, it's my legitimate interest in answering a message you chose to send. For a booking, it's taking steps you've asked for before we might agree to work together.
Cookies
This website sets no cookies at all. It doesn't track you, doesn't use analytics and doesn't load anything from another company, so nothing here reports your visit to anyone. The fonts are served from this site rather than fetched from elsewhere. That's why there's no cookie banner: there's nothing to ask you about.
Who else sees your information
A few other companies are involved, because the website and my business can't run without them:
- Netlify, Inc., which hosts this website and receives the messages sent through it, then emails them to me. Like all web hosts, it keeps server logs, which include visitors' IP addresses. Netlify says it keeps its logs for 90 days, and archived copies for up to a year. Netlify also keeps a copy of each message until I delete it, and I clear these out at least every three months
- Microsoft, which provides my email, calendar and booking page. Your messages, emails and bookings sit in my Microsoft 365 business account
- FreeAgent Central Limited, based in Edinburgh, which I use for invoices and accounts. If you become a client, your name, business details and what I invoice and you pay are kept there. FreeAgent says that if it handles information outside the UK, it only does so where the law allows, such as under approved contract clauses
- My business bank, Mettle, which is run by National Westminster Bank plc. If you pay me, the bank sees your payment details. NatWest decides for itself how it uses that information, under its own privacy notice
Netlify and Microsoft are based in the US, so your information may be held outside the UK. Both are certified under the UK Extension to the EU-US Data Privacy Framework, which the UK government recognises as giving your information adequate protection.
How long I keep it
Only as long as I need it, and I check every three months for anything that's due to be deleted.
- A message that doesn't lead to any work: 12 months from my last reply
- An intro chat booking that doesn't lead to any work: 12 months from the chat
- Other emails: 12 months
- If you become a client: our agreement and emails are kept for the length of the agreement plus 6 years, and invoices for at least 5 years after the 31 January tax return deadline for that year, as HMRC requires
Your rights
You can ask me what information I hold about you, ask me to correct it, ask me to delete it, or ask me to stop using it. Email faye@peopleease.co.uk and I'll come back to you within a month, usually much sooner. I may ask you to confirm who you are first. There's nothing to pay.
If you're not happy
Tell me first and I'll do my best to put it right. You also have the right to complain to the Information Commissioner's Office, the UK regulator for this, at ico.org.uk, and you can do that whether or not you have spoken to me.
Changes to this notice
If this notice changes, the date at the bottom of the page changes with it.
